Do not begin with data entry
The first step is understanding which records matter, who creates them, who corrects them, and what questions people need the system to answer. This prevents a digital database from inheriting every inconsistency of the paper process.
Design a safe migration
Historical data is rarely uniform. Separate clean current information from archival records, define validation rules, preserve source references, and migrate in reviewable stages. The goal is trust, not merely speed.
Make the new system easier than the old one
Fast search, familiar labels, simple forms, sensible defaults, and clear permissions determine whether a new platform becomes part of daily work. Training helps, but intuitive product design carries the system much further.
